Privacy Policy

The short version

We collect what we need to build your website and run your account. We don't sell your data. We use it to provide the service you signed up for, to make Promptly better, and to measure whether our own ads work.

Who we are

Promptly is operated by REACHRIGHT, located at 200 University Blvd. Ste 225 #217, Round Rock, TX 78665. When this policy says "we," "us," or "our," it means REACHRIGHT.

Information we collect

Information you give us

When you sign up for Promptly and use it to build your website, you provide:

  • Your name and email address
  • Your church name, location, and description
  • Service times, staff information, and ministry details
  • Photos, logos, and other media you upload
  • Content you write or approve for your website
  • Payment information when you subscribe (processed by Stripe, our payment provider, and never stored by us)

Information we collect automatically

When you use Promptly, we automatically collect:

  • Device and browser information (type, version, operating system)
  • IP address and general location (city/state level, not precise)
  • Pages visited and actions taken within Promptly
  • Referring URL (how you found us)
  • Conversation logs between you and the Promptly AI

Information from your website visitors

When someone visits a website built with Promptly, we collect standard web analytics: page views, device type, browser, approximate location, and referring source. We also process any form submissions (contact forms, Plan Your Visit forms) on your behalf.

How we use your information

We use the information we collect to:

  • Build and host your church website
  • Personalize your site's design, copy, and content
  • Process your subscription payments
  • Send you account-related emails (billing confirmations, trial reminders, service updates)
  • After your trial, send you REACHRIGHT's weekly email for church leaders (every email has an unsubscribe link)
  • Deliver form submissions from your website visitors to you
  • Improve the Promptly AI and our service quality
  • Monitor for abuse, fraud, and security threats
  • Comply with legal obligations

We do not sell your data. We do use advertising tools to measure and improve our own ads for Promptly (see "Who we share data with" and "Cookies").

AI and your conversations

When you chat with Promptly, AI uses your conversation to build and update your website.

The Promptly team can see the requests you make to the Promptly assistant in your dashboard, along with what the assistant did in response. We review them to fix problems, help you when you contact support, and decide what to build next, especially requests Promptly can't handle yet. Only the Promptly team can see them.

We don't sell your conversations, we don't use them to train AI models, and we'll never publicly share your specific conversations or use them in marketing without your explicit permission.

Who we share data with

We share your information only with:

  • Hosting and infrastructure providers that store and serve your website
  • Payment processors that handle your subscription billing
  • AI service providers that power the Promptly conversation and content generation
  • Analytics tools that help us understand how Promptly is used
  • Email service providers that deliver account-related communications and REACHRIGHT's weekly email
  • Advertising partners (Meta) that tell us whether our ads lead to visits, sign-ups and subscriptions. We send Meta your email address and name in hashed (scrambled) form, plus the browser details its pixel collects. We don't share your website content or conversations.
  • Sign-up security providers (Cloudflare Turnstile and ZeroBounce) that block automated sign-ups and check that the email address you sign up with can receive mail

All of our service providers are bound by data processing agreements. They can only use your data to provide their specific service to us.

We may also disclose your information if required by law, subpoena, or court order, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

Cookies

We use cookies and similar technologies to:

  • Keep you logged in to your Promptly account
  • Remember your preferences
  • Understand how you use the service
  • Measure the effectiveness of our marketing, including the Meta pixel on promptly.church and the Promptly dashboard

You can control cookies through your browser settings. Disabling cookies may limit some features of Promptly.

Data retention

We keep your account data, website content, and conversation history for as long as your account exists, including after you cancel, so you can resubscribe anytime and pick up where you left off.

If you'd like your data permanently deleted, email privacy@promptly.church and we'll delete it within 30 days, except for records we're required to keep (see below).

Billing records are retained for 7 years as required by tax and accounting regulations.

Data security

We use industry-standard security measures to protect your data, including encryption in transit (TLS/SSL), encrypted storage for sensitive information, and access controls that limit who on our team can view your data. No system is perfectly secure, but we take reasonable steps to protect what you trust us with.

Your rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Delete your personal data (with some exceptions for legal or billing obligations)
  • Export your data in a portable format
  • Opt out of non-essential communications

To exercise any of these rights, email us at privacy@promptly.church. We'll respond within 30 days.

California residents (CCPA)

If you're a California resident, you have additional rights under the California Consumer Privacy Act. You have the right to know what personal information we collect, request deletion, and opt out of the sale of personal information. We do not sell personal information.

To make a CCPA request, email privacy@promptly.church. We will not discriminate against you for exercising your CCPA rights.

Children's privacy

Promptly is not designed for use by anyone under 18. We do not knowingly collect personal information from children. If you believe a minor has provided us with personal information, please contact us and we will delete it.

Changes to this policy

We may update this privacy policy from time to time. When we make significant changes, we'll update the date at the top and notify you by email. Your continued use of Promptly after changes take effect means you accept the updated policy.
